We’re currently seeking a Sales Support Associate to join our Enterprise Division, where you’ll play a critical role in supporting our Sales team and ensuring a seamless experience for both internal stakeholders and customers. About the Role
The Sales Support Associate is a key operational partner to our Sales team. This role focuses on end-to-end order execution, project coordination, and proactive communication — ensuring accuracy, efficiency, and an exceptional customer experience from initial quote through final delivery.
You’ll serve as the organizational backbone of the sales process, working closely with Sales Representatives, vendors, customers, and internal teams to keep orders moving smoothly and issues resolved quickly.
Essential Duties & Responsibilities
Sales & Project Support
- Provide day-to-day project management support to assigned Sales Representatives within the Enterprise Division.
- Source promotional products, research vendors, and collaborate with Sales to build compelling product presentations and proposals.
- Create detailed, accurate quotes and manage revisions as needed.
- Convert approved quotes into Jobs, Sales Orders (SO), and Purchase Orders (PO) within internal systems.
Order Management & Execution
- Place orders with vendors and ensure all specifications, pricing, and timelines are correct.
- Review vendor Proforma Invoices (PIs) and confirm pricing accuracy against approved quotes.
- Manage proofing process, thoroughly reviewing artwork and details before sending proofs to customers to minimize revisions and delays.
- Obtain and track customer proof approvals.
- Monitor order progress to ensure timelines, quality standards, and deliverables are met.
Communication & Relationship Management
- Act as a central point of communication between Sales Representatives, customers, vendors, and internal teams.
- Proactively update Sales Reps and customers on order status, timelines, and any changes.
- Identify potential issues early and communicate solutions or alternatives clearly and professionally.
- Maintain a high level of customer service by keeping all parties informed throughout the lifecycle of each order.
- Hold vendors accountable to deadlines, pricing, and quality expectations through consistent follow-up.
Accuracy, Follow-Up & Accountability
- Ensure all orders are processed accurately to prevent errors, delays, or rework.
- Create and manage follow-ups to keep orders moving forward and avoid bottlenecks.
- Maintain organized documentation related to quotes, proofs, approvals, and vendor communications.
Cross-Functional Collaboration
- Partner with Accounting to ensure seamless invoicing, payment processing, and order reconciliation.
- Support internal process improvements by identifying inefficiencies or recurring issues in the order workflow.

- Experience in promotional products, sales support, order management, or a related field is highly preferred.
